About the position

Reporting to the Senior Manager, Donations Services, the Senior Coordinator, Donation Services provides operational support for donation and gift processing activities. The role is responsible for processing, validating and recording all types of gifts received by LTA, as well as coordinating vendor payments, purchase orders and donor payment requests.

This position requires the exercise of independent judgement to analyse and interpret a broad range of gift types, with a strong understanding of how each gift should be managed and accurately recorded within the LTA CRM system, currently Blackbaud CRM. The role ensures compliance with gift processing policies and procedures and takes a lead role in preparing and distributing both routine and ad hoc reports, including data integrity checks, gift summaries, receipts and pledge reminders.

The Senior Coordinator acts as a key liaison between the Gift Processing and Development teams to support the accurate recording and use of donations in line with donor intent. The role also serves as a primary point of contact for responding to day to day enquiries.

 

Skills and Experience

To be consdiered for this position, you will have the following:

Experience in:

  • Entering gifts into the donor database (Blackbaud CRM), including pledges and recurring gifts, and updates donor information or creates new constituent records as needed.
  • Processing online and offline credit card and direct debit gifts - ensuring full compliance with PCI (Credit Card) standards.
  • Completing batching, banking, receipt generation and processing of a variety of gifts.
  • Processing of vendor invoices, purchase orders, and payment requests.
  • Drafting sophisticated reports on cash, pledges and payments received
  • Undertaking financial reconciliations to confirm accurate entry.

Skills in:

  • An undergraduate degree in any area relevant to the position with at least 4 years subsequent experience; or extensive experience and management expertise; or an equivalent alternate combination of relevant knowledge, training and/or experience.
  • Excellent interpersonal skills, especially the capacity to work collaboratively and cooperatively in small teams.
  • Demonstrated organisation and problem-solving skills, with an ability to manage several different projects concurrently.
  • Demonstrated high level of self-motivation and personal management skills.
  • Ability to apply management or policy expertise to bring together diverse and sometimes conflicting information to solve problems.
  • Demonstrated experience in project management in the tertiary sector or a related field.
  • Demonstrated ability to manage multiple stakeholders to achieve stated outcomes.
  • Demonstrated judgement based on theoretical and technical knowledge and the ability to exercise initiative in the application of systems and procedures.
  • Demonstrated experience in using and manipulating Fundraising databases (Blackbaud products like Blackbaud CRM or Raiser’s Edge Experience is preferred)
  • Demonstrated experience in using and manipulating SAP Finance.
  • Demonstrated ability to develop and interrogate reports using Fundraising databases (Blackbaud CRM Experience or Raiser’s Edge Experience is preferred)
  • Demonstrated ability to provide general direction to other staff.
  • Demonstrated ability to work independently, follow established procedures with limited supervision and contribute positively to an effective team.
  • High-level proficiency in computer software packages including word processing, Advanced Excel skills, Power BI Dashboard, databases, electronic mail, and the use of the internet as a research tool.
  • Demonstrated understanding of PCI Compliance.
  • Experience of working in philanthropy (Alumni and Advancement) in a Higher Education setting.
