About the position

The Senior Administrative Officer (HEO6) delivers high-quality operational, organisational and project coordination support to the Managing Director (MD) of the La Trobe AI Institute. The role is focused on enabling the MD’s external leadership and supporting the Institute’s internal alignment by establishing reliable processes and systems, ensuring consistent and disciplined delivery, and coordinating complex stakeholder activities across research, education, industry engagement and University operations.

This position is responsible for developing and improving administrative workflows, coordinating projects and events involving multiple stakeholders, and managing reporting and documentation for governance bodies, including the AI Institute Management Committee External Advisory Panel. It also undertakes light environmental scanning, such as maintaining a forward calendar of key AI events, monitoring competitor and sector activity, and preparing concise briefings to support the Institute’s external positioning and program delivery.

 

Skills and Experience

To be considered for this position, you will have

  • Degree with subsequent relevant experience to consolidate the theories and principles learned, or extensive experience, leading to either the development of specialist expertise or to the development of broad knowledge in an administrative field, or an equivalent alternate combination of relevant knowledge, training and/or experience. 
  • Minimum 3-5 years of experience in senior administrative, executive support, or project coordination roles within large, complex, multi‑stakeholder environments.
  • Proven capability in process improvement and systems administration (e.g. templates, SharePoint/Teams repositories, version control).
